Job Summary:
The Corporate Support Specialist with Travel Coordination Expertise provides comprehensive administrative and operational support to the organization, with a specialized focus on managing corporate travel arrangements. This role requires excellent organizational skills, 100% confidentiality, attention to detail, flexibility, and the ability to ensure seamless travel experiences for the team. Key Responsibilities:
- Travel Coordination:
- Plan, book, and manage domestic and international travel arrangements, including flights, accommodations, and ground transportation.
- Ensure compliance with corporate travel policies and budgets.
- Anticipate and resolve potential travel disruptions, such as flight delays or cancellations, in a timely manner.
- Maintain detailed travel itineraries and provide 24/7 support for travel-related emergencies.
- Administrative Support:
- Manage calendars, schedule meetings, and organize events for executives and teams.
- Prepare reports, presentations, and documents for internal and external use.
- Handle correspondence, emails, and calls with professionalism and discretion.
- Operational Assistance:
- Support the planning and execution of corporate initiatives and projects.
- Maintain records and ensure documentation for compliance and auditing purposes.
- Collaborate with other departments to ensure efficient corporate operations.
- Expense Management:
- Process and reconcile travel expenses and reimbursements in a timely manner.
- Track travel budgets and provide regular reports to management.
- Team Coordination:
- Serve as a liaison between employees, travel vendors, and executives.
- Support onboarding of new team members with travel and logistics.
- Policy and Compliance:
- Assist in developing and updating travel policies to align with company goals.
- Ensure compliance with corporate standards, legal requirements, and safety protocols.
Qualifications:
- Bachelor’s degree in Business Administration, Hospitality, or a related field (or equivalent experience).
- Proven experience in administrative support and travel coordination roles.
- Familiarity with travel booking platforms, airline regulations, and visa processes.
- Strong proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Exceptional organizational and time-management skills.
- Excellent verbal and written communication abilities.
- Ability to manage multiple tasks and handle confidential information with discretion.
